THE ROLE
We’re looking for a highly organized, proactive professional to serve as the agency owner’s right hand and the operational center of the office.
This is more than a traditional administrative position. You’ll help manage the owner’s business and personal priorities while creating the structure that keeps the agency organized, accountable, and moving forward. You should enjoy turning ideas into action, building systems, tracking results, protecting the owner’s time, and making sure important details do not fall through the cracks.

WHAT YOU’LL DO
  • Manage the agency owner’s calendar, meetings, travel, communications, projects, and selected personal administrative priorities.
  • Build and maintain weekly KPI scorecards for team managers.
  • Track whether managers are coaching and holding individual team members accountable to established expectations.
  • Identify missed targets, overdue action items, and operational gaps, then bring them to leadership’s attention.
  • Prepare meeting agendas, capture decisions, assign follow-up items, and ensure deadlines are met.
  • Coordinate new-hire onboarding, including schedules, system access, licensing requirements, training plans, and introductory meetings.
  • Organize internal and external training sessions, materials, attendance, and follow-up.
  • Monitor marketing campaigns, lead sources, spending, vendor performance, and results.
  • Create and improve checklists, workflows, standard operating procedures, and office systems.
  • Coordinate office vendors, supplies, events, team activities, and recurring administrative needs.
  • Handle confidential business and personal information with sound judgment and discretion.
WHAT YOU’LL BRING

  • Strong analytical skills and comfort working with KPIs, reports, and deadlines.
  • The ability to anticipate needs and solve problems before they reach the owner.
  • Excellent written and verbal communication skills.
  • A process-oriented mindset with a desire to make operations simpler and more efficient.
  • The ability to shift between executive support, team coordination, and office operations without losing attention to detail.
MINIMUM QUALIFICATIONS
  • Four or more years of experience in executive support, office management, operations, project coordination, or a similar role.
  • Experience tracking KPIs, projects, deadlines, or team performance.
  • Strong proficiency with spreadsheets, calendars, email, presentations, and business software.
  • Proven ability to manage multiple priorities with limited supervision.
  • Experience handling confidential information.
  • Able to work regularly with our Arvada-based team and various remote employees.
  • Authorized to work in the United States.
PREFERRED QUALIFICATIONS
  • Experience supporting a business owner, executive, or senior leader.
  • Experience in insurance, financial services, sales, or another performance-driven organization.
  • Experience coordinating recruiting, onboarding, licensing, or employee training.
  • Familiarity with CRM, project-management, and reporting platforms.
  • Experience monitoring marketing campaigns, lead sources, budgets, or vendor results.
  • A history of documenting processes and improving operational efficiency.
